Project Administrative Assistant

The Electrical Project Coordinator, HV is responsible for providing support to the Project Manager and site staff on Company Projects. This responsibility includes, but is not limited to documentation preparation, control and will coordinate procurement between site labor and office to provide support with research, documentation and scheduling for projects. The role will be responsible for working closely with all the site staff and the Project Manager.
**Duties and Responsibilities**:
- Provide direct support to the Project Manager and all other members of the Project Management department as directed
- Prepare and maintain project files and folders
- Take out ESA permits online
- Issue purchase orders to Vendors as directed by Project Manager
- Pull ON 1 call locates and keep a log of all locates and refresh prior to expiring
- Maintain Electronic and hard copies of all documents
- Assist Project Manager and Site Supervision with preparation of initial 2 week look ahead
- Provide assistance with preparing lead letters for Estimator
- Log all Estimates
- Follow up with the appropriate parties to obtain status updates on submittals, drawing and all outstanding documents, including follow up on estimates
- Submit all shutdown requests required to the Utility
- Perform other administrative duties as assigned
**Qualifications**:
- 3+ Year experience in an Administrative Assistant role or equivalent
- Experience with Civil project Management would be considered an asset.
- Excellent time management and communication skills (verbal and written)
- Strong working knowledge of Microsoft computer software (e.g. Excel, Word, etc.), Outlook
- Ability to work independently in a busy environment
- Ability to interpret and implement company policies and procedures
**Salary**: From $50,000.00 per year
Schedule:
- 8 hour shift
Ability to commute/relocate:
- Greater Toronto Area, ON: reliably commute or plan to relocate before starting work (required)
**Education**:
- Secondary School (preferred)
**Experience**:
- Front desk: 1 year (preferred)
- Administrative experience: 1 year (preferred)
