**General Description**

Responsible for providing front line customer service and handling inquiries from customers and vendors. Organize and perform a range of administrative duties that in accordance with company policies and procedures.

**Duties & Responsibilities**
- Utilize discretion and judgment to screen visitors and telephone calls, and notify appropriate personnel.
- Schedule and coordinate a variety of meetings and events including room bookings, agendas, catering and travel arrangements.
- Write a variety of documents such as correspondence, procedure manuals, reports, and minutes.
- Conduct database, literature, and web searches to find references
- Collect, verify, and input data into a variety of spreadsheets and databases.
- Format, word process, edit, and proofread a variety of documents and materials.
- Monitor and order office supplies.
- Set up and maintain filing systems, both electronic and hard copy.
- Classify, sort, and file correspondence, records, and other documents.
- Assemble copy, collate, and disseminate a variety of documents and materials.
- Open and distribute incoming mail.
- Prepare outgoing mail, and courier shipments.
- Prepare and issue invoices and change orders to customers

Office filing, payables, receivables, etc.

**Reporting**

A weekly report is to be generated and provided at our Weekly Production Meetings. The reports will be on the following:

- Office administration, or contract sourcing (i.e. cell phone contracts)
- Quote Registry - which quotes have you produced and what were the results
- Account Receivables - who have you contact and what have the responses been and subsequent follow ups
- Parts delivery/expediting

**Job Type**: Fixed term contract
Contract length: 12 months

**Salary**: $16.00-$22.00 per hour
