**We are looking for a service oriented, enthusiastic, kind, friendly and very organized Administrative Assistant to join our team on a permanent, full-time basis.**

Reporting to the Director, Corporate Operations, you will get hands-on experience by providing professional administrative support to the corporate operations, executive, legal, technology, marketing and sales departments. You will also provide support where required to ensure that the administrative functions are carried out in an efficient, effective and timely manner.

**Essential duties and responsibilities**:

- Provide administrative support to corporate, executive, legal, technology, marketing and sales departments.
- Organize, update and maintain corporate documents, and follow a document control procedure to organize and maintain a filing system.
- Coordinate meetings, prepare meeting materials and agendas, take minutes and distribute materials.
- Perform ad-hoc administrative functions for corporate projects and initiatives.
- Organize travel and accommodations for executives.
- Assist the executive team with calendar coordination, as required.
- Prepare and submit expenses on behalf of the executive management team.
- Send out new deal reports and coordinate tombstone generation and press release communications on new deals.
- Ensure quick and easy access to important documents as required by various departments while maintaining their security as appropriate.
- Assist the legal department with the preparation of standard forms of documents and coordinate execution.
- Proactively coordinate internal and off-site meetings and conferences by coordinating with venues, vendors, and attendees, and assisting with preparation and success of the event.
- Manage corporate industry accounts and associations.
- Provide back-up office management assistance.
- Perform other administrative duties as required.

**Competencies & Attributes**:

- Exude exemplary level of professionalism, presence and work ethic.
- Proficient knowledge of MS Office, including PowerPoint, Word and Excel.
- Experience with project management tools (ie. Asana, Jira, Trello, Smartsheet), considered an asset.
- Adept at learning and using new software.
- Ability to approach work in a collaborative manner, with a positive outlook.
- Outstanding interpersonal skills are required, in order to provide effective administrative support at an executive level.
- Thoroughness and careful attention to detail.
- Tact, discretion, and sensitivity to confidential matters.

**Education and Experience**
- College or University degree in business administration, communications or related field, or a combination of education and work experience
- 1 year of administrative or project management experience (preferred)
