**Overview**:
**Responsibilities**:

- Offer comprehensive administrative assistance to both managers and team members.
- Professionally handle and route incoming phone calls.
- Efficiently organize and manage appointment schedules.
- Take charge of planning meetings, ensuring detailed minute-taking.
- Contribute to the preparation of regularly scheduled reports.
- Establish and maintain a filing system for easy document retrieval.
- Regularly update and uphold office policies and procedures.
- Oversee the procurement of office supplies, researching new deals and suppliers.
- Maintain accurate and up-to-date contact lists.
- Coordinate travel arrangements for team members.
- Facilitate the submission and reconciliation of expense reports.
- Provide welcoming support to office visitors.
- Act as a central point of contact for both internal and external clients.
- Collaborate with executive and senior administrative assistants to address requests and inquiries from senior management.

**Qualifications**:

- High school degree, bachelor’s degree or additional qualification as an administrative assistant or secretary will be a plus.
- Proven experience as an administrative assistant, virtual assistant or office admin assistant.
- Experience and knowledge of construction background.
- Proficient in Microsoft office suit (Word, Excel, PowerPoint, Outlook).
- Excellent organization and time management skills.
- Strong written and verbal communication abilities.
- Ability to multitask and prioritize tasks efficiently.
- Detail-oriented with high level of accuracy in work.
- Ability to maintain confidentiality and handle sensitive information.
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment, like printers and fax machines. kills, we would love to hear from you

**Ability to commute/relocate**:
North York, reliably commute or plan to relocate before starting woke (required)

**Experience**:

- Front desk: 1 year (preferred)
- Administrative experience: 1 year (preferred)

**Salary**: $35.00-$45.00 per hour

Expected hours: 8 per week

Flexible Language Requirement:

- French not required

Schedule:

- 8 hour shift
- Monday to Friday

Supplemental pay types:

- Overtime pay
