**Role Purpose**:
We are looking for an enthusiastic, reliable and driven individual to join our team as the Office Manager at our thriving integrated wellness centre, Movenetics Physiotherapy. The Office Manager is the operational heartbeat of Movenetics, ensuring that our clinic functions smoothly, efficiently, and in line with our modern, elevated brand. This role demands exceptional organization, leadership, and attention to detail, with a strong emphasis on client experience and team cohesion.
**Key Responsibilities**:
**Leadership & Team Coordination**
- Lead, hire, train, and mentor front desk and administrative staff to maintain a high-performing, motivated, and client-focused team.
- Create and manage staff schedules, ensuring optimal coverage and efficiency.
- Conduct regular team check-ins and performance reviews, fostering a culture of accountability, growth, and positivity.
**Clinic Operations & Brand Standards**
- Oversee the smooth daily operations of the clinic, ensuring an elevated, client-centric experience from the moment clients walk in.
- Maintain Movenetics’ modern and clean aesthetic, ensuring all client-facing areas are pristine, organized, and reflective of our brand identity.
- Implement and monitor operational processes to ensure efficiency, accuracy, and compliance with healthcare regulations.
**Financial & Administrative Oversight**
- Manage accounts receivable, billing, and payment collections in a timely and accurate manner.
- Oversee data entry and record-keeping, ensuring patient files and clinic records are accurate and confidential.
- Assist with basic financial reporting to management and monitor operational expenses to optimize efficiency.
**Inventory & Resource Management**
- Monitor and manage clinic inventory (supplies, retail products, equipment) to ensure adequate stock without over-ordering.
- Coordinate maintenance and service of clinic equipment to minimize downtime.
**Client & Community Engagement**
- Support client relations, addressing inquiries, feedback, or concerns promptly and professionally.
- Coordinate staff and community events, team-building activities, and seasonal promotions to reinforce Movenetics’ community presence and brand culture.
**Innovation & Continuous Improvement**
- Stay ahead of industry trends and identify opportunities to modernize processes, enhance client experiences, and support clinic growth.
- Work closely with the leadership team to implement initiatives that align with Movenetics’ vision as a fresh, forward-thinking healthcare brand.
**Qualifications & Core Competencies**
- High School Diploma, G.E.D. or equivalent
- Excellent customer service skills and telephone etiquette
- High degree of organizational skills and ability to prioritize and multi-task
- Excellent communication (verbal/written) and interpersonal skills
- Strong computer and data entry skills
- Flexible and adaptable to change
- Experience in a Chiropractic clinic an asset
- **Experience in a Physiotherapy clinic is mandatory**:
- **Knowledge and experience of Jane App is mandatory**
**Work Location**
In-Person
Pay: $23.00 per hour
Expected hours: 40 per week
