**ADMINISTRATIVE ASSISTANT**

**JOB SUMMARY**

We are seeking a detail-oriented and organized Administrative Assistant to support our team in a dynamic office environment. This position will be responsible for providing general front-line reception and administrative support, including scheduling meetings, planning events and team communications, while also gaining experience in office, project, and technical professional systems.

**KEY RESPONSIBILITIES**
- General office functions, such as distributing mail, greeting visitors, assisting with correspondence, monitoring office inventory and ordering supplies.
- Answering and directing all incoming phone calls.
- Organize meeting logistics, including room bookings, IT requirements, catering, and room layout.
- Coordinate travel arrangements when necessary for business travel.
- Manage and maintain schedules and boardrooms in online calendars.
- Collecting and managing deliveries to the office.
- Attend meetings and take meeting minutes as required.
- Assistance with filing and organization of documents.
- Maintain PPE inventory and assist employees with their PPE requirements.
- Ensure office and reception area is opened during business hours and closed at the end of the day.
- Manage company fleet vehicles by coordinating requests, inspecting vehicles upon return, and booking maintenance when required.
- Other office duties as required.

**QUALIFICATIONS AND EXPERIENCE**
- College diploma in an administrative or business program would be an asset but not required.
- Strong ability to prioritize and anticipate business/team needs.
- Highly organized self-starter with proven ability to multitask.
- Team oriented and ability to support team members and clients.
- Proficient with Microsoft Outlook, Word, PowerPoint, Excel, and MS Teams.
- Excellent written and verbal communication.

Pay: $47,000.00-$54,000.00 per year
