**Administrative Assistant - **Permanent Part-Time**
Under the direction of the Executive Director, the Administrative Assistant will fulfill clerical, administrative and human resource responsibilities to ensure efficient operations of the program. The Administrative Assistant will also act as the assistant to the Executive Director and provide administrative support to the Board of Directors.
**Program and Service Responsibilities**:
To provide reception, administrative and mail distribution services for the agency.
To provide bookkeeping and accounting support for the agency including accounts payable and receivable.
To prepare financial and statistical reports and spreadsheets for submission to the Board of Directors and funders on a monthly, quarterly and annual basis.
Maintain the agency webpage.
To work with Auditor’s on the annual financial audit and provide required information.
To act as a recorder for all Board of Directors meetings and committees, and ensure all information and meeting packages are prepared and available.
To oversee the functioning of the office area, including the ordering of program and office supplies, office equipment and other items as needed.
To prepare Ministry claims reports for client benefits and Personal Needs Allowance.
Participate as a member of the Joint Occupational Health and Safety Committee including scheduling of meetings and taking minutes.
**Recruitment/New Hire Process**:
Onboarding new employees.
**Payroll and Employee Benefits Administration**:
To assist with processing bi-weekly payroll and maintain employee records.
To maintain and update all employee leave and benefit accounts.
To enroll employees in the benefit plan and RRSP. To administer the employee benefit program and reconciling benefits statements.
Conducting benefit enrollment and termination process.
**Record Maintenance**:
Maintaining current HR files and databases including records related to performance reviews, supervision, employee support and disciplinary actions.
Performing file audits to ensure that all required employee documentation is collected and maintained.
**Qualifications**:
Diploma or degree in Office Administration, business or Human Resources with a minimum of 2 years of experience in administration.
Experience with data entry is required.
Proficiency with Microsoft Office (Word, Excel and Outlook) and ability to use electronic databases to enter and access data and information.
Strong skills in written and verbal communication, organization, time management, critical thinking and problem-solving.
Produce work that demonstrates high attention to detail and accuracy.
Ability to establish workload priorities in a dynamic and rapidly changing environment.
Demonstrated ability to establish therapeutic rapport and proven cultural competence and ability to work effectively with diversity.
