We launched She Connects with the goal of bringing together a community of young women. Through our mentorship program, we aim to foster relationships where women are able to share stories, learn from the experiences of others, and support one another to reach their own personal goals.

**Duties**

This role is an integral role of supporting She Connects. This is a volunteer position that blends secretary, and legal responsibilities. Please see more information below:
**Secretary Tasks**
- Has signing authority together with the President.
- The secretary is responsible for doing, or making the necessary arrangements for, the following:

- issuing notices of general meetings and directors' meetings;
- taking minutes of general meetings and directors' meetings;
- keeping the records of the Society in accordance with the Act;
- conducting the correspondence of the Board;
- filing the annual report of the Society and making any other filings with the registrar under the Act.
- Coordinate board meetings to ensure they occur at least every 45 days (monthly).
- Develop organizational systems for She Connects (filing/record keeping, systemize processes, etc).

**Legal Tasks**
- Ensure the board is up to date with insurance policies, and undertake insurance renewals when required.
- Research necessary organizational policies and develop first drafts for board review.
- Keep on top of changes to legislation that may impact the work of the organization

**Duties of all Board Members**
- All board members are expected to adhere to the code of conduct:

- Board members are expected to engage in dialogue at board meetings, committee meetings, and working group meetings. It is important for me as a board member to share my perspective and to listen to the perspectives of others. It is important we have discussions involving all participants in the meeting.
- Show up for meetings 5 minutes early.
- Let the meeting chair know as soon as possible if they need to miss a meeting (the expectation is at least 48 hours) and read the minutes afterwards.
- Not miss more than 4 board meetings per year (max of 2 consecutive meetings)
- With board members spanning across Canada - most meetings will be held virtually. Board members will turn their cameras on during meetings whenever possible.
- As this is a working board, all board members are expected to do work outside of meetings and must have those action items completed without needing to be reminded.
- Complete a monthly director report at least 4 days before our monthly board meeting
- Be self-accountable and will create a system to stay on top of board work and expectations.
- Check and respond on Slack regularly (at least 5-7 times per week). Slack is very important at our Board as this is how we coordinate meetings and discuss certain topics outside of meetings.
- Being a member of a working board is a fairly significant time commitment (around ~2 hours per week + meetings) and board members agree to commit this time to the organization and the board.
- If this time commitment becomes too much board members will give 1 month notice to the board chair and step down as a board member.

**Job Type**: Part-time

**Salary**: $10.00 per year
