- **Tenant and Lease Management**:
- Serve as the primary point of contact for tenants, handling inquiries, concerns, and coordinating lease documentation, renewals, and terminations.
- Coordinate move-ins and move-outs, and communicate with tenants regarding lease terms, rent increases, and notices.
- Assist in property marketing, conduct property showings, and support leasing outreach.
- **Property Administration**:
- Maintain up-to-date records of lease agreements, insurance documents, tenant information, and payment histories.
- Support preparation of property reports, budgets, financial statements, and year-end documentation.
- Ensure accurate records of all property communications, notices, and updates, and maintain a well-organized filing system.
- **Maintenance and Vendor Coordination**:
- Coordinate and manage maintenance requests, working with vendors and contractors to ensure timely repairs and compliance with property standards.
- Oversee construction and renovation tasks as needed, and liaise with city officials for necessary permits and compliance.
- **Financial and Accounting Support**:
- Process rent payments, manage accounts payable and receivable, track overdue accounts, and ensure timely collection of other income (e.g., parking fees).
- Assist with budgeting, expense reporting, cash management, and provide support to the accounting team on property financials.
- Coordinate with the accounting department for processing payments to vendors and preparing expense reports.
- **Office and Administrative Support**:
- Act as the first point of contact for office visitors, phone inquiries, and direct mail distribution.
- Handle general office duties such as scheduling, correspondence, and maintaining office supplies.
- Maintain CRM systems (e.g., Salesforce) to manage tenant communications and ensure data accuracy.
**Qualifications**:
- Proven experience in property management, real estate administration, or a related field.
- Strong organizational, multitasking, and communication skills, with a focus on customer service.
- Proficiency in property management software and MS Office Suite; familiarity with real estate accounting software (e.g., Yardi) is an asset.
- Knowledge of local real estate laws and regulations, especially regarding lease administration.
- **Mandatory**: Valid driver’s license and access to a personal vehicle.
- Bilingual in French and English is preferred.
