Job Summary:
Reporting to the Director, Lease Administration, this role will lead the team responsible for the end-to-end management of our North American retail property portfolio. The Manager will oversee the integrity of all lease data, ensure financial compliance, and manage relationships with external landlords for more than 300 locations across Canada and the United States. This role requires a leader with deep expertise in retail lease terms and strong financial acumen for rent management.
Main Responsibilities:
- Develop and maintain strong relationships with landlords and property managers, addressing inquiries promptly and effectively;
- Partner with senior leadership to proactively manage the retail portfolio and resolve issues;
- Maintain and oversee the lease database, ensuring accuracy and timely updates;
- Collaborate with Finance to manage lease information, proforma updates, and required documentation;
- Generate monthly rent roll reports, providing variance analysis and insight into changes;
- Oversee landlord CAM reconciliations and statements for accuracy and compliance;
- Manage month-end accruals and ensure accuracy;
- Ensure that all obligations under lease agreements are met within required timelines;
- Ensure that all critical dates (expiration, renewal options, termination options, etc.) are tracked and actioned on a timely basis;
- Oversee property-related documentation and certificates.
Qualifications:
- Bachelor's degree in Business, Legal Studies, Real Estate, or equivalent experience;
- 5+ years of experience in retail leasing, either as a tenant representative or landlord;
- Familiarity with lease management software and strong understanding of retail lease terms and legal documents;
- Strong analytical skills with the ability to anticipate and resolve issues proactively;
- Strong communication and collaboration skills with internal teams and external partners;
- Excellent organizational skills with the ability to prioritize and manage multiple leases simultaneously;
- Self-motivated, independent, and accountable in a fast-paced environment;
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook;
- Solid knowledge of shopping centre leases;
Ability to work under pressure with tight deadlines.
