**Description**:
The Administrative/Executive Assistant ensures the efficient operation of the Latincouver office by assisting the Executive Director through different tasks related to Latincouver and office communications, following procedures and policies and monitoring administrative projects.
**Responsibilities**:
- Answers calls, organizes and schedules meetings and appointments
- Organizes and updates office database
- Maintains close communication with clients and contacts, ensuring updates, feedback and satisfaction
- Records minutes and submits minutes for approval
- Develops and maintains a filing system
- Orders office supplies and maintains an inventory (as needed)
- Organizes workspace and meeting guests of Latin Plaza hub
- Assists with the organization of special events from concept to completion
**Requirements and skills**:
- University or college graduation in Business Administration will be a plus
- 1+ year of experience with administrative tasks is a plus
- Advanced communication and presentation skills
- Ability to take responsibility and make independent decisions
- Ability to work cooperatively and to coordinate with a variety of individuals both within and outside the organization in a supportive and efficient team environment
- Cross-cultural competence and sensitivity
- Knowledge of Latin American culture and Spanish or Portuguese are an asset
- Proven ability to meet deadlines, work on multiple tasks and adapt to change
- Knowledge of Microsoft Word, Microsoft Excel, Google Drive
**Working hours**: 20 hours per week (3 months)
