Accounts and Administration Coordinator

**Job Summary**:
**Key Responsibilities**:
**Financial & Administrative Tasks**
- Import and reconcile bank and credit card statements.
- Enter vendor bills and ensure accurate financial tracking.
- Transfer booked/invoiced sales into a Daily Sales.
- Maintain and update records of booked/invoiced sales.
- Present updated sales figures to management.
- Execute monthly exchange adjustments.
- Verify general ledger accounts and ensure financial reports match.
- Enter general journal and necessary journal adjustments.
- Work closely with the support team to troubleshoot ERP issues.
- Coordinate with external contractors for ERP personalization requirements.
- Answer and direct incoming phone calls.
- Order and maintain office and grocery supplies.
- Perform other administrative and finance-related tasks as directed by management.
**Sales Order Processing & Customer Transactions**
- Send sales orders to customers for approval and sign-off.
- Generate and send customer deposit invoices when required.
- Send final invoices to customers post-shipment.
- Record and track customer payments.
- Follow up with customers on outstanding payments.
**Accounts Payable & Vendor Transactions**
- Create vendor payment journals.
- Process payments for certain vendor invoices via bank transfer or credit card.
- Issue vendor remittances after payment completion.
- Record vendor bills into cash flow records.
- Conduct weekly cash flow forecasting and reporting.
**Qualifications & Skills**:
- Experience with CRM and Business Central (or similar financial/ERP systems).
- Strong understanding of sales order processing, invoicing, and payment tracking.
- Detail-oriented with strong organizational and time-management skills.
- Ability to analyze financial data and generate reports.
- Excellent communication skills for internal coordination and customer/vendor interactions.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, SharePoint).
- Ability to work independently and manage multiple responsibilities.
Pay: From $50,000.00 per year
