**Job Summary**:
**Duties and Responsibilities**:
1. **Office Management**:

- Oversee daily office operations, maintain supplies, and ensure that all office equipment is functional.
- Serve as the main point of contact for office-related inquiries, maintaining an organized and welcoming environment.

2. **Project Documentation and Filing**:

- Organize and maintain project documentation, including blueprints, contracts, permits, and compliance reports.
- Assist with filing, scanning, and data entry related to construction projects.

3. **Scheduling & Calendar Management**:

- Manage the office and project calendars, coordinate meetings, site visits, and team events.
- Schedule travel arrangements for team members and coordinate logistics for job site visits.

4. **Team Support & Onboarding**:

- Facilitate the onboarding process for new hires, ensuring compliance with safety protocols and company standards.
- Assist in planning team-building events and activities to maintain a collaborative work culture.

5. **Compliance & Safety**:

- Support the team by ensuring adherence to safety regulations, updating office and project site safety procedures as needed.
- Maintain and organize safety training records and certifications.

6. **Financial Administration**:

- Assist with processing timesheets, tracking project expenses, and coordinating approval workflows.
- Collaborate with project managers to handle billing and invoicing support.

7. **Communication**:

- Serve as a liaison between office staff and field teams to facilitate efficient communication and information flow.

8. **Process Improvements**:

- Identify and implement process improvements to streamline administrative tasks and increase office efficiency.

**Skills & Qualifications**:

- High school diploma or equivalent; an associate’s degree in Office Administration or Construction Management is preferred but not required
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and construction management software is a plus.
- Experience with QuickBooks and familiarity with construction project management tools (e.g., Procore, Buildertrend) is advantageous.
- Strong organizational skills, attention to detail, and the ability to multitask under pressure.

Pay: $17.33-$25.00 per hour

Expected hours: 40 per week

**Education**:

- Secondary School (preferred)

**Experience**:

- Front desk: 1 year (preferred)
- Administrative experience: 1 year (preferred)

**Language**:

- Mandarin (preferred)
