**Position Overview**

We are hiring a **proactive and experienced Administrative Manager** to take ownership of our growing Nova Scotia operations. This leadership position is ideal for someone who thrives in a fast-paced, dynamic environment and is excited to play a pivotal role in building scalable processes, coordinating field operations, and ensuring seamless communication between local teams and our head office in Ontario.

The Administrative Manager will be the backbone of our local operations—coordinating technicians, streamlining installations, overseeing administrative workflows, and driving customer satisfaction through strong execution and follow-through. This is not a desk-only role; we are looking for a strategic doer who is hands-on, highly organized, and capable of wearing multiple hats with confidence.

**Key Responsibilities**
- **CRM & Data Management**: Maintain an organized and accurate database in the CRM system, ensuring all customer, sales, and service records are updated in real time for smooth workflow progression.
- **Field & Technician Scheduling**: Coordinate technician schedules, ensure timely dispatch, and maintain communication with field staff to support efficient and on-time installations.
- **Sales Coordination**: Work closely with the sales team to ensure every deal brought in is properly tracked, processed, and moved forward through the pipeline—from quote to final installation.
- **Process Execution**: Follow company SOPs to ensure each customer journey and internal task is executed with precision and accountability.
- **Issue Resolution**: Proactively identify and flag potential bottlenecks or workflow gaps, and collaborate with internal teams to resolve them before they escalate.
- **Communication & Reporting**: Serve as a liaison between the field, sales, and head office teams—ensuring smooth communication and consistent reporting across all departments.

**Qualifications**
- 3+ years of experience in administrative management, operations coordination, or similar leadership roles
- HVAC or home services industry experience is a strong asset
- High proficiency in CRM systems (e.g., Pipedrive, Jobber) and task management tools
- Strong written and verbal communication skills
- Proven ability to manage multiple priorities while maintaining attention to detail
- Comfortable working both independently and as part of a broader remote team
- Valid driver's license and ability to travel locally when needed

Pay: $42,000.00-$50,000.00 per year
