Our team is growing, and we are currently seeking a highly motivated, experienced individual to join our administrative team as an Administrative Assistant. This is a full-time, year-round position.
The Administrative Assistant is one of our first point of contact for Members, their guests and visitors to the Club, and as such, is a key contributor to our Members’ experience and is responsible for ensuring all Members, their guests, and visitors to the Club are greeted with a warm and sincere welcome.
The Administrative Assistant will report to the Executive Assistant and will be responsible for supporting the administrative requirements of the operation.
**General responsibilities include but are not limited to**:
- Greet and welcome members, their guests and Club visitors to Westmount Golf & Country Club.
- Redirect calls to appropriate department as needed.
- Rectify member challenges in a professional and respectful manner.
- Support the Executive Assistant with committee meeting responsibilities, which includes compiling meeting materials, sending meeting notices and invites, preparing and distributing meeting materials, minutes and follow-up items.
- Prepare, maintain and create various types of documents, including templates, general correspondence, and signage.
- Maintain an organized file management system.
- Maintain inventory and replacement schedule of organization’s office systems.
- General website content updates, maintenance and administration.
- Other administrative duties as assigned.

**WHAT YOU OFFER**
- 1-3 years experience in office administration.
- Friendly and approachable attitude.
- Proven experience in a guest relations role would be considered an asset.
- The desire to provide exceptional member service.
- Strong computer skills, including but not limited to, Microsoft Office Suite.
- Excellent communication and writing skills.
- Ability to multi-task and set priorities.
- Organizational skills with the ability to plan and deliver on both short term and long-term tasks and projects.
- Must be self-motivated with the ability to work independently and collaboratively.
- Jonas Software experience would be an asset.
