The Internal Communications team works together to communicate corporate objectives and maintain a world-class employee experience with the goal of developing and retaining informed, engaged and satisfied employees. Reporting to the Director, Internal Communications & Administration, the Internal Communications Specialist for the Sales & Marketing team will develop, implement, and manage formal processes for communicating both intra
- and inter-departmentally at Prophix. By acting as a communication business partner to our Sales & Marketing groups, the Specialist will ensure a positive and consistent experience for all employees.

**What You Will Do**

The Internal Communications Specialist (Sales & Marketing) works to understand the day-to-day lives of our employees in Sales and Marketing departments. By integrating themselves into the assigned departments, they seek to enhance communication practices, improve employee experience and remove administrative burden from the leaders of the team.

The unique and varied duties of our Internal Communications Specialist can be summarized into three functions: 1) Internal Communications, 2) Onboarding and 3) Employee Satisfaction. Each of these functions is outlined below.

**Internal Communications **duties include but are not limited to:

- Efficiently develop clear and concise action plans and communication cadences in response to identified departmental needs (often identified via survey results)
- Proactive coordination and administrative support for departmental meeting cycles (including preparing PowerPoint presentations, taking minutes/action items, coordinating venues/catering, etc. as needed)
- Development and maintenance of departmental intranet sites
- Implementing departmental surveys/polls
- Addressing ad hoc communication requests as needed, working often and closely with the Department Head(s)

**Onboarding** duties include but are not limited to:

- Working cross-functionally with key stakeholders to understand, formalize and expand on existing onboarding processes
- Exercise interpersonal and organizational skills to ensure every new team member has a consistent, effective and welcoming onboarding experience
- Always seeking new and creative ways to improve the onboarding experience

**Employee Satisfaction** duties include but are not limited to:

- Developing and administering departmental award programs
- Seeking and organizing continuing education opportunities relevant to the employees in the assigned department(s)
- Identifying and coordinating departmental social and team building events including semi-annual department-wide off-site enablement events
- Proactively identifying opportunities to improve employee experience

**Required Qualifications**
- Secondary diploma completed
- Minimum 1-year administrative or communications experience in an office environment
- Proficient in Microsoft Office Suite; particularly Microsoft Outlook, Microsoft Word, Microsoft PowerPoint and Microsoft Excel
- Experience with Microsoft 365 Applications; particularly SharePoint, OneDrive, Teams and Stream
- Must be legally entitled to work in the country where the role is located. Must be able to travel to the United States, Canada and/or internationally, and have a valid passport.

**Preferred Qualifications**
- Post-secondary certificate or diploma in communications-related field
- Previous internal or corporate communications experience
- Experience working with or in Sales and/or Marketing
- Experience planning corporate events and/or incentive trips
- Experience using a Learning Management System (LMS)
- Extremely detail-oriented and organized
- Customer-service oriented with strong aspirations to help others
- Self-motivated and results oriented
- Self-starter who demonstrates a high level of initiative and seeks opportunities
- Creative thinker who can quickly adapt to changing environments
- Ability to foster strong working relationships and collaborate with colleagues at all levels of the organization with confidence
- Team player with excellent written and verbal communication and interpersonal skills
