We are searching for a talented Administrative Assistant to the be the first point of contact at our Woodbridge, Ontario, office. The Administrative Assistant is responsible for greeting and welcoming all guests. You will be coordinating front desk activities and operations including but not limited to directing phone calls and distributing correspondence. Your duties will also include offering administrative support across the organization.
This is full-time and in-person position, Monday to Friday during regular business hours, and reports directly to the Manager of Operations and Training.

You possess strong verbal and written communication skills along with excellent phone skills. You should be a natural multi-tasker and are great at prioritizing your workload. You’re a problem solver and demonstrate initiative. You embody excellence in customer service.
Administrative Assistant Responsibilities:
- Warmly welcome clients and visitors, creating a positive first impression of the company
- Answer and direct phone calls in a professional, polite, and friendly manner while maintaining the company’s and our clients’ confidentiality
- Prepare and serve hot and cold drinks such as coffee, tea, and specialty beverages
- Ensure meeting rooms are always presentable, tidy, and stocked with pens, writing pads, and tissue
- Maintain safe and clean reception and kitchen areas
- Sort and distribute mail to the appropriate people
- Arrange and track courier pickups and deliveries
- Mail out invoices, cheques, and letters
- Produce documents, reports, presentations, and meeting minutes as required
- Enable office access for vendors and suppliers
- Monitor office supply inventory and re-order as needed
- Perform other clerical duties such as filing, photocopying, transcribing, and faxing
- Assist colleagues as necessary
Administrative Assistant Requirements:
- High school diploma
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Ability to work with a broad range of people including Board members, foundation staff, colleagues of CEO and staff, visitors, and others
- Excellent management, time-management, and problem-solving skills
- Excellent communication skills - both written and verbal
