**Grant Administration**
- Research and identify new grant funding opportunities.
- Collaborate with internal partners to prepare, submit, and track grant proposals.
- Maintain and monitor grant deadlines and progress.
- Provide regular reports to leadership and when required funding organizations.
- Monitor compliance with grant requirements and organizational goals.
- Coordinate and support Grant Committee meetings (agendas, minutes, action items)
- Participate in the planning for annual grant planning.
- Track and report on special projects for grant consideration in partnership with internal partners.

**Board Service Administration**
- Provide administrative support for board services, including but not limited to the following items:

- Sending information packets on behalf of the CEO,
- Recording meeting minutes,
- Supporting the organization of board activities as directed by the CEO.
- Handle sensitive information with discretion and maintain the highest standards of confidentiality and integrity.

**Contract Administration**
- Maintain and improve contract templates for vendor suppliers, and service providers to ensure consistency, clarity, and compliance with organizational policies and legal requirements.
- Establish and maintain a centralized contract repository or management system to streamline contract creation, approval, execution, and tracking processes across departments.
- Regularly review and update contract templates to reflect changes in regulatory requirements, industry standards and organizational needs.
- Provide contract review support, initial review of contracts to identify key points for review.

**Insurance Administration**
- Establish and maintain an insurance repository for all insurance policies, certificates, and related documents.
- Ensure all insurance records are accurate, up to date, and easily assessable for audits and reviews.
- Support claims management and renewal process.
- Develop and maintain standardized insurance requirements and guidelines for vendors, suppliers, and contractors to ensure consistency and compliance with organizational standards.
- Ensure standardized insurance clauses are included in all contracts and agreements with third parties.

**General Administration**
- Prepare reports and take on special projects as needed or requested.
- Provide administrative support to finance, human resources, and business services as requested.
- Provide front desk coverage as required.

Here is what you bring:

- Bachelor’s degree in business administration, management, or a certificate in related field and/or direct experience.
- Minimum of 3-5 years of experience in business administration, or related work experience.
- Experience with Microsoft suite and SharePoint.
- Experience with Grants an asset.
- Excellent communication skills, including report writing.
- Ability to manage multiple projects simultaneously and meet deadlines.
- Strong organizational skills and ability to work independently.
- Ability to collaborate with cross functional teams.
- Strong time management and prioritization skills.
- Knowledge of contract management and insurance management processes, an asset
- Competent with technology and new adaptable to new systems.
