The Coordinator, Operations Management - Investment supports the Real Estate Lending team in all matters related to loan administration requests (term loans and construction loans). The Coordinator is responsible for producing various reports, performing the necessary follow-ups, and liaising with various internal departments at the Montreal head office. The Coordinator will be responsible for the preparation and validation of various internal reports as well as control functions related to the integrity of information; all with mínimal supervision in a high volume, fast-paced environment. Finally, he or she will be required to actively participate in various continuous improvement initiatives.
**Your responsibilities**:
**Reports**
- Produce various follow-up reports for the investment team members and the CDPQ and follow up on them in order to meet deadlines;
- Enter data into the PLM system when transactions are approved;
- Produce and submit accountability reports to the investment committee and other internal committees of Otéra;
- Produce credit reports (D&B and Equifax)
**Administrative management of investments**
- Assist Account Managers in updating pipeline data as required;
- Ensure integrity of pipeline data on a weekly basis;
- Assist in the translation of investment documents when needed;
- Liaise with the Operations, Treasury and Management Information team to support the identification, development and implementation of best practices to improve current processes;
- Assist in the coordination, training and implementation of change management activities affecting the investment team;
- Update business process documents;
- Act as a resource to the Real Estate Lending team by being a super user of the PLM loan management system.
**Periodical Reviews**
- Prepare and maintain the status report for periodic reviews and update the loan management system (PLM) as needed;
- Assist in the gathering of information to conduct periodic reviews;
- Coordinate annual site inspections that need to be completed;
- Prepare and maintain site inspection report by region and track ongoing and completed inspections;
- Update the Loan Management System (LMS), file and maintain information as required.
**General**
- Proactively identify opportunities for improvement and propose concrete solutions to evolve the team's current processes and tools;
- Work with the Real Estate Lending team to improve and keep procedures up to date.
**Your profile**:
- A university degree in finance, business administration or real estate (an asset);
- Ideally two (2) to five (5) years of experience in a similar position;
- Knowledge of commercial real estate is an asset;
- General knowledge of loan administration in the commercial real estate industry, an important asset;
- Proficiency in Outlook, Word, Excel, PowerPoint;
- Strong attention to detail;
- Excellent oral and written communication skills and ability to interact professionally with a diverse group;
- Ability to work both independently and as part of a team;
- Ability to work on multiple simultaneous projects with strict deadlines;
- Excellent organizational and time management skills.
