Under the direction of the Director, Engineering Services, the Administrative Assistant is responsible for providing secretarial and administrative support to the Engineering Services Department, including drafting, transcribing and typing correspondence, preparing reports and spreadsheets; scheduling meetings; processing incoming and preparing outgoing mail/faxes; responding to routine telephone inquiries and handling complaints; maintaining an inventory of office supplies, preparing requisitions and purchase orders as required; updating various Department computerized records, filing all Department correspondence and maintaining files.

Job Requirements

1. Post secondary formal academic training in public administration, executive secretarial or related discipline in addition to progressive experience or an equivalent combination of education and experience.

2. Working knowledge of municipal government and applicable legislation preferably relating to Engineering.

4. Excellent organizational and communication skills. Strong interpersonal, public relations, and administrative skills with ability to respect confidentiality.

5. Demonstrated ability to work as a team player.

6. Ability to work independently and with mínimal supervision, prioritize, meet deadlines and flexibility to perform multiple tasks.

7. Excellent research skills to support the completion of information and assist in the preparation of reports and correspondence (i.e. utilizing the Town’s database to search past reports and history).

8. Ability to deal courteously and effectively with Council, lawyers, consultants, other levels of government, other departments, staff, contractors, developers and general public.

9. Availability to attend Committee meetings, in absence of Shared Administrative Services Coordinator.
