**Job Description - Administrative Assistant for Psychology Practice**

**PURPOSE OF THE POSITION**
The Administrative Clerk is responsible for providing administrative and clerical services in order to ensure effective and efficient operations.
**SCOPE**
The Administrative Clerk reports to the business operations manager, and office manager and is responsible for providing administrative and clerical services. Providing these services in an effective and efficient manner will ensure that operations are maintained in an effective and efficient manner.
**RESPONSIBILITIES**
Provide professional administrative support to ensure that operations are maintained in an effective, up to date and accurate manner
Main Activities:
- Type correspondence, reports and other documents
- Maintain office files
- Coordinate repairs to office equipment
- Provide support to other therapist in order to facilitate their practice
- Maintain confidential records and files
- Maintain records of decisions
- Take payments, maintain accounts receivable, and generate invoices, manage payables
- Support therapists in research and assist with the preparation of assessments
- Review and edit reports when requested
- Prepare correspondence for clinicians when requested
- Prepare documents and reports on the computer
- Schedule meetings and sessions
- Attend board meetings and events when requested
- Record minutes and submit minutes for approval
- Provide receptionist services
- Greet and assist visitors
- Answer phones
- Direct calls and respond to inquiries
- Perform other related duties as required
**KNOWLEDGE, SKILLS AND ABILITIES**
**Knowledge**
The incumbent must have proficient knowledge in the following areas:
- knowledge of office administration and bookkeeping procedures
- knowledge of psychological services available
- ability to maintain a high level of accuracy confidentiality concerning client and staff files

**Salary**: $20.00-$22.00 per hour
