**JOB POSTING: RECEPTIONIST / ADMINISTRATIVE ASSISTANT**

**JOB PURPOSE**:
Walton Financial Group is looking to expand its executive assistant team and join an already experienced group of administrators (4).

The Receptionist / Administrative Assistant will provide high-level administrative support to three financial advisors, demonstrating professionalism, discretion, and confidentiality. Responsibilities include front desk reception, screening and directing calls, calendar management, data entry, coordination of meetings and events, and general office support. This role requires a proactive, detail-oriented individual who thrives in a fast-paced, client-focused environment. Duties will involve a wide range of tasks requiring initiative, maturity, tact, and independent judgment.

**QUALIFICATIONS & REQUIREMENTS**:

- Strong computer skills are essential, particularly proficiency in Microsoft Word, Excel, Outlook, and ACT.
- Adaptability to a fast-paced, ever-changing work environment.
- Excellent interpersonal and communication skills.
- Strong organizational and time management abilities.
- Tactful, diplomatic, professional, and discreet demeanor.
- Proven ability to work independently with mínimal supervision and to take initiative.
- A strong team player who enjoys daily client interaction in a dynamic environment.
- Previous experience as a Receptionist / Administrative Assistant, preferably in the financial industry.
- IFIC license is an asset.

**DUTIES & RESPONSIBILITIES**:

- Provide administrative support to financial advisors as required.
- Collaborate with the administrative team and offer support as needed.
- Answer and direct incoming calls with a professional and welcoming demeanor; take accurate messages and gather necessary information for timely responses.
- Greet clients, staff, and visitors in a professional and courteous manner.
- Schedule appointments and maintain calendars.
- Screen and distribute incoming correspondence, responding where appropriate.
- Prepare business presentations and documents, including confidential memos, contracts, and proposals.
- Prepare agendas and background materials for meetings; collect reports, follow up on action items, and ensure proper formatting and distribution.
- Coordinate meetings and special events.
- Maintain a well-organized filing system for easy access and retrieval of information.
- Continuously expand professional knowledge and enhance administrative skills to support team productivity.
- Assist in planning staff social events.

Pay: $26.00-$31.00 per hour

Expected hours: 37.5 per week
