Q-nomy is a global software company leader in customer journey management, servicing some of the largest household brand-names worldwide and operating from few offices. We are currently seeking an experienced Office Administrator to join our Toronto, ON branch and provide high level administration, and office support. This is a part-time position with potential to full time.

Your Key Responsibilities
- Provide assistance and support to on-site and remote team members and respond to their needs in a timely and effective manner
- Screen and identify posted RFPs (Request for Proposals) and Bids that align with the sales team strategy and coordinate with multiple teams on proposal submission
- Assist with supporting office health & safety protocols
- Prepare and process incoming/outgoing mail and courier packages
- Prepare and proofs correspondences, reports, spreadsheets, and presentations with appropriate syntax and grammar
- Building Maintenance/Housekeeping - tracking/reporting maintenance/housekeeping issues to property management team
- Review expense reports and requests, arranging for shipping, maintaining vendor database
- Work with Finance team on coordinating invoices for Accounts Payables and Receivables
- Coordinates travels (flights, hotel, rental cars, etc.) for traveling team members
- Schedules and coordinates various types of meetings including team lunches, conferences, and other team building events
- Create a great first impression, and interface in a professional and positive manner while greeting clients and vendors virtually through phone/video calls
- Answer a multi-line phone system and effectively route calls
- Completes various office tasks (e.g. maintaining office files, supplies, and equipment, submitting expense reports)
- Other duties as assigned

**Qualifications**:

- Availability to work on-site during business hours
- Computer proficiency, especially within the Microsoft Office Suite
- Excellent customer service/account management skills
- Demonstrate organizational and detail-oriented skills and juggle multiple responsibilities in a deadline-driven environment
- A positive, proactive attitude, high-energy level, flexibility, dependability, and willingness to learn new skills and be a team player
- French Speaking - a major plus

Education And Experience
- Minimum of a high school diploma, however, business administration diploma from an accredited college would be considered and asset or equivalent work experience
- Professional experience operating in an administrative office support/receptionist capacity with demonstrated skill to support a business effectively
- Position will primarily work in an office setting
