**Who are you?**
We are seeking a proactive and detail-oriented **Executive Assistant / SharePoint Administrator**to provide comprehensive support across administrative coordination, onboarding, internal communications, user support, and system management. This hybrid role is essential to ensuring smooth team operations, effective collaboration, and optimal use of SharePoint for project and document management.
**Job Description** Meeting & Coordination Support**
- Attend internal meetings to document discussions, decisions, and action items.
- Prepare and distribute meeting materials including agendas, decks, and minutes.
- Liaise with presenters and stakeholders to ensure timely content submission and follow-up.
- Support ad hoc meetings, workshops, and special sessions as needed.
**Onboarding & Presentation Support**
- Maintain and deliver onboarding materials and sessions for new team members.
- Ensure completion of onboarding tasks such as document collection, risk assessments, and internal updates.
- Keep internal trackers current and communicate updates to relevant stakeholders.
- Coordinate team presentations and meetings, ensuring content is organized and delivered on schedule.
- Assist in planning team events and social activities.
**Internal Communications**
- Draft and manage internal newsletters and team updates, coordinating approvals and distribution.
- Curate and publish spotlight features to highlight staff achievements and team culture.
- Collaborate with communications leads to distribute content across internal platforms.
- Support the development of communication strategies for new starters across teams.
**User Support & Training**
- Create user documentation, manuals, and guides to support self-service and troubleshooting.
- Develop and deliver training sessions to enhance user proficiency with tools and systems.
- Provide responsive support to end-users, addressing questions and resolving issues efficiently.
**System Administration (SharePoint)**
- Manage user access, permissions, and security settings to ensure compliance with company policies.
- Customize SharePoint sites, lists, libraries, and workflows to meet departmental and project needs.
- Deliver technical support and guidance for effective use of SharePoint in collaboration and project management.
- Investigate and resolve technical issues, escalating complex problems when necessary.
**Qualifications** Qualifications**
- Proven experience in administrative coordination and system administration roles.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and SharePoint.
- Excellent organizational and time management abilities.
- Ability to manage multiple priorities and collaborate across teams.
