Office Services Coordinator - Urbacon
Role Objectives
The Office Services Coordinator will facilitate all mailroom duties, organize and maintain office supplies, manage the telecommunications program, coordinate with the cleaners of the Head Office and assist with facilities maintenance as required.
**Responsibilities**:
**Office Services**
- Maintain telecommunication program (service, hardware & monthly reports for cell phones and internet).
- Sort and distribute incoming mail
- Order, receive and maintain general office supplies
- Tasked with gathering quotes and, if requested, proceeding with order placement for various office supplies/equipment (chairs, filing cabinets, printers, stationary, etc.)
- Maintain kitchen and other general areas (cleaning spills when needed, stocking fridges, etc.)
- Conduct or coordinate general repairs of office equipment
- Replenish printer, copiers and fax machines with paper and toner
- Assist with office moves
- Assist with invoice processing for approval
- Arrange courier pick up/drop off
- Carry out external errands as required
- Receive and stock all office deliveries
- Assist with reception coverage as needed
- Additional duties as required
**Facilities Maintenance**
- Report plumbing, electrical, and HVAC issues to the Facility Manager and assist with repair/service coordination when required
- Serves as a secondary, and when necessary, primary point of contact for facility services, coordinating with the Facility Manager
- Monitor exterior building parking spots, placing pilins where necessary
- Keep mailroom entrance free of snow
- Assist with miscellaneous facilities maintenance as required (i.e. pest control, mats and disposal)
Location & Commitments
Head Office
Occasional Travel Required
Monday to Friday 9AM - 5PM
- Post secondary education in office/administration field, and/or equivalent experience.
- 3+ years of directly related experience in an office setting.
- Valid Ontario “G” class driving license required for frequent use of vehicle for pick up/drop off errands.
- Ability to lift packages up to 50lbs.
**Skills**:
- Excellent communication skills, with strong command of the English language both written and verbal.
- Detailed oriented and organized.
- Strong interpersonal and time management skills.
- Ability to work independently and in a team environment.
- Be confident, professional and extremely dependable.
- Strong software skills and knowledge of MS Office suite.
