Administrative Assistant and Operations Coordinator

This position involves providing administrative and operations support to the VP Operations and team members. This is a varied role involving multiple areas of the business and so is suited to an individual who is extremely detail oriented, but also comfortable with change, good with people, happy dealing with a wide variety of tasks and personality types and is willing to learn and grow with the company.
**ESSENTIAL DUTIES/RESPONSIBILITIES**:
**Office Administration and Records**
- Provide reception / front desk presence with excellent inter-personal and customer service skills.
- Assist the senior management with any administrative tasks as required.
- Provide assistance with the procurement and management of office supplies.
- Assist the admissions department with student recruitment and liaison, including basic marketing and communication with international students seeking information on the company’s programs.
- Take potential new clients on facility tours.
- Collecting, filing, copying and scanning of records, including admissions and training records.
- Accurately collect and manage the student records data and spreadsheets.
- Track expired records and documents requiring renewal.
- Liaise with flight operations staff to ensure missing records are collected in a timely manner.
- Any other administrative tasks required by the senior management team.
**Operations Coordinator & Dispatcher**
- Assist with building management tasks such as scheduling building inspections.
- Coordinate and meet with vendors, suppliers, and contractors to provide site access as required.
- Assist with the preparation of any company events.
- Provide reports required by management team using data from the company operational software system.
**This position will also involve being trained as a back-up company flight dispatcher to cover vacations, medical absences, and other occasional shifts.**
**QUALIFICATION, KNOWLEDGE, SKILL, AND ABILITY**:
- Minimum of 3-5 years of experience in an office administration, customer service position, or similar environment.
- Experience in a flight training school or private post-secondary institution a definite asset.
- Self-starter, sense of urgency, works well under pressure
- Excellent team player with exemplary customer service and communication skills, both oral and written.
- Superior attention to detail and analytical mindset.
- Demonstrated ability to problem-solve.
- Ability to prioritize and manage multiple projects.
- Good level of proficiency with Microsoft Office Word and Excel. **This position will involve the extensive use of Excel spreadsheets at an intermediate level.**:
