Profile
The Office Manager leads and is part of all aspects of the operation. The Office Manager is the person in charge of making sure everything runs smoothly and issues are resolved in a timely fashion. The Office manager will develop general office operational procedures and implement and evaluate them with team members to improve efficiency.
Office manager duties and responsibilities include coordination of meetings, rooms and appointments; making office supplies arrangements; liaising with building supply and maintenance groups as necessary for repairs/maintenance/cleaning; creating schedules for administrative functions (eg replenishment of supplies, reception coverage, etc.), greeting visitors and providing general administrative support to employees.
Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve the company’s procedures and day-to-day operation.
**Key Accountabilities**:
Serve as the point person/coordinator for office operations including:
Maintenance & repairs
Mailing & courier
Supplies
Equipment
Errands
Shopping
Schedule meetings, appointments, training sessions, onboarding, etc
Provide central organization of room and resource bookings
Organize the office layout
Ensure stationery supplies are organized and have a regular ordering cycle
Maintain the office condition and arrange necessary repairs
Partner with HR & HSE to update and maintain office policies as necessary
Organize office operations and procedures
Coordinate with IT department on all office equipment
Coordinate orders for common items (stationary, kitchen items, etc)
Manage contract and price negotiations with office vendors and service providers
Manage office administration/supply budget, ensure accurate and timely reporting
Provide general support to visitors
Assist in the onboarding process for new hires
Address employee’s queries regarding office management issues (e.g. stationery, hardware and travel arrangements)
Liaise with facility management vendors, including cleaning, catering and security services
Plan in-house or off-site activities, like parties, celebrations and conferences
**Requirements and Skills**:
University Degree or equivalent combination of education and experience(Business, Administration)
Proven experience as an Office Manager, Front Office Manager or Senior Executive Administrative Assistant
Knowledge of Office Administrator responsibilities, systems and procedures
Proficiency in MS Office (MS Excel and MS Outlook, MS Word, MS PowerPoint, SharePoint, MS Teams)
Hands on experience with office machines (e.g. computers, copiers, printers)
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
Experience in IFS an asset
