**Job Summary**:
Reporting to the General Manager of Employment Services, the Administrative Assistant role at the YMCA offers an exciting opportunity to be part of a dynamic, collaborative team. This position is ideal for someone with a great attitude, a proactive approach, and demonstrated experience in planning, organization, communication, and data entry. You’ll contribute meaningfully to a supportive team environment while ensuring the delivery of high-quality employment services.
**Specific Responsibilities Include**:
- Demonstrate strong support and commitment to the mission, core values, and serving the program participants of the YMCA
- Receives client referrals and conduct preliminary screening to determine service needs and provide information on programs and certifications
- Contact clients and schedule appointments with Case Managers
- Completes purchasing - purchasing support, inventory planning, PO submissions
- Enters all required data into internal databases and CaMS for tracking purposes
- Working cooperatively with other staff to ensure consistent and efficient service to the clients while providing excellent customer service
- The ability to support customers on computers, including word processing and troubleshooting issues as they arise
- Liaise with employment service providers and community service organizations
- Ability to manage social media and develop content
- Understand the Performance Management Model and the Service Quality Standard and its composition, and actively works with the employment team to attain, maintain, and exceed that standard
- Other duties as required and/or assigned
**Qualifications, Knowledge and Skill Requirements**:
- Diploma in administration or related field or a combination of relevant experience
- Valid license and reliable vehicle
- Valid CPR certification is an asset
- Clear Police Reference Check and Vulnerable Sector Screening
- Proficient in Outlook, MS Word, PowerPoint, Excel, the internet and comfortable with new and evolving technologies and social media
- Demonstration of proficiency with CaMS (Case Management Solution) or other system, which supports the delivery of client and employer information, is an asset
- Strong communication skills both verbal and written
- Experience working in an environment where service is being provided to the public, and experience delivering outstanding customer service
- Ability to meet deadlines, problem solve and manage competing tasks
- Self-motivated and a strong team player; be able to work independently while maintaining team cohesion
- Ability to maintain confidentiality at all times
