**Job Overview**
**Key ResponsibilitiesOffice Management & Operations**
- Oversee day-to-day office operations to maintain an efficient and professional environment.
- Manage administrative functions, including scheduling, correspondence, and inventory of office supplies.
- Coordinate with IT and vendors to ensure software and systems are functioning seamlessly.
- Lead the hiring process, including posting job openings, scheduling interviews, and onboarding new team members.
- Update and maintain firm policies, procedures, and operational workflows to meet industry standards.
**Client Engagement & Business Development**
- Act as a primary point of contact for clients, ensuring excellent service and timely responses.
- Support client onboarding, manage engagement letters, and facilitate ongoing client communications.
- Collaborate with the team to identify opportunities for cross-selling or expanding client services.
- Represent the firm at community events, networking functions, and professional organizations to drive new business opportunities.
**Tax Filing Support**
- Assist in gathering and organizing client documentation required for tax filings.
- Work directly with the accounting team during tax season to process and file personal and corporate tax returns.
- Review documentation to ensure accuracy and compliance with tax regulations.
- Communicate with clients to address missing information or clarify filing requirements.
- Track tax filing deadlines and coordinate team efforts to ensure timely submissions.
**Community Involvement**
- Build and maintain relationships with local organizations to enhance the firm's community presence.
- Plan and participate in outreach initiatives to promote the firm’s values and services.
- Actively seek opportunities to connect the firm with potential clients or partnerships.
**Software & Technical Proficiency**
- Use **Xero**, **QBO**, **CCH iFirm** and **Caseware** to assist with tax filings and operational tasks.
- Support the accounting team in preparing, reviewing, and filing financial reports.
- Train staff on software usage and troubleshoot technical issues as needed.
- Maintain accurate and secure digital records for clients and the firm.
**Qualifications/Experience**
- Minimum of 3-5 years of experience in office management, public accounting administration, or a related role.
- Experience in tax preparation, filing, or working closely with accountants is a strong asset.
- Proven ability to manage client relationships and drive business development initiatives.
**Technical Skills**
- Proficiency in **Xero**, **QBO**, CCH iFirm (or similar tax prep system) and **Caseware** is required.
- Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook).
**Soft Skills**
- Exceptional organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Ability to work collaboratively with a team while also taking initiative independently.
- Strong client service and relationship management skills.
**Education**
- Bachelor’s degree in business administration, accounting, or a related field preferred. Equivalent experience will be considered.
**Job Types**: Full-time, Part-time
Pay: Up to $55,000.00 per year
Expected hours: 30 per week
