As a personal assistant to a high producing real estate agent, you will be his right hand person. You will assist him with his day-to-day tasks, to allow him to focus his energy on his top priorities. It is important for an assistant to be resourceful, as there may not always be explicit directions for every task, and instead may require some research or judgment calls to get the job done. You will regularly meet with your agent to align your tasks with his business goals.

**Hours of Work**

Monday to Friday: 9:00 am to 1:00 pm

**Dress Code**

**Job Requirements**
- Real Estate office experience an asset
- Must have minimum 3-5 years admin experience
- Must have advanced computer skills: Microsoft Office, Publisher, Google Drive
- CRM-based knowledge an asset
- Must have excellent customer service skills
- Must have excellent verbal and written communication skills

**POSITION DUTIES**:
**General**
- Support growth of personal brand
- Manage Instagram and Facebook account
- Assist with submitting paperwork
- Manage calendar
- Follow up and communicate with clients
- Run errands
- Book appointments and meetings
- Bookkeeping
- Book flights and hotels

**Paperwork**
- Assist sales agent with listing and buyer paperwork
- Check for accuracy and ensure it is submitted in a timely manner
- Communicate details to the transactions and operations team
- Provide feedback to sellers on all showings every Friday and Monday for feedback on OH
- Leads to be added to CRM (FUB)

Social Media*
- Instagram and Facebook management, post regularly, engagement daily

**Co-ordinate World Class Marketing Activities for Listings**
- Deliver feature sheets to active listings
- Write creative & interesting ads for properties taking an interactive approach with sellers input.
- Coordinate Open House schedule with Sales Manager, Sales Associates, and Seller’s

Provide Client Care** ** Introduce yourself Intro to Seller

- Assist agent with following up with database, nurturing database and building database
- Generating Referral Business and Control of Referral Database Management
- Block time slots to follow-up on past clients - actively selling the MacKay Realty Network Team’s services

Appointment Preparation** ** Arrange listing appointments

- Update Outlook, Database Calendar and callbacks
- Prepare necessary documentation for listing appointments - confirm appointments

Special Events** ** Assist in arranging Customer appreciation events or marketing events

Business Planning & Goal Setting** ** Set plans on how to improve position operations and customer service
- Take an active leadership role in goal setting and planning
- Prepare annual business goals, monitor, review

Miscellaneous** ** Running errands as needed (e.g., putting a lockbox at a property, collecting lockboxes)
- Deliveries as required

**Job Type**: Part-time

**Salary**: $20.00-$25.00 per hour

Additional pay:

- Bonus pay
