We are currently seeking a highly organized and professional **Administrative Assistant** to provide vital support to our Investment Advisors. If you excel in a fast-paced environment, have strong attention to detail, and enjoy building client relationships, we would love to hear from you

**Key Responsibilities**
- **Administrative Support**: Provide day-to-day administrative assistance to Investment Advisors, including managing calendars, scheduling client meetings, and maintaining accurate client records.
- **Client Service**: Be the first point of contact for client inquiries, delivering a professional and friendly experience.
- **Document Management**: Prepare and process investment account documents, including Know Your Client (KYC) forms, account opening forms, and other correspondence accurately and promptly.
- **Compliance**: Maintain client files and records in full compliance with industry regulations and company policies.
- **Communication**: Coordinate communication between clients, advisors, and internal departments to ensure seamless service delivery.
- **Data Entry**: Update and maintain client information in CRM systems and investment platforms.
- **Organization**: Assist with planning and executing client events, seminars, and other initiatives as needed.

**Qualifications**
- **Experience**: Minimum 1-2 years of administrative experience, preferably in the financial services or investment industry.
- **Education**: Post-secondary education in business administration, finance, or a related field is an asset.
- **Skills**:

- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- High level of accuracy and attention to detail.
- Proficiency in math and numerical accuracy in data entry and calculations.
- Proficiency in MS Office Suite (Word, Excel, Outlook).
- Familiarity with CRM systems and investment platforms is an advantage.
- **Certifications**: Knowledge of financial products and industry regulations is a plus; completion of CSC or IFIC courses is an asset.
- **Personal Attributes**: Reliable, professional, and client-focused, with the ability to maintain confidentiality at all times.
