**The Role**:
The Administrative Assistant is a key contributor to a work environment that enhances our clients’ and Team Members’ experience. The role requires a friendly, flexible, and experienced administrator with an interest in working in a fast-paced, dynamic environment. Being self-disciplined, self-motivated, and accountable to promptly respond and “keep the momentum” going on assigned tasks & activities is a critical competency as the workforce is predominately still working from home across North America.
The Administrative Assistant is the “go-to” person on the team. They are the key contact for our landlords in Calgary for any maintenance issues. They oversee office maintenance, order supplies, provide general administrative support to the executive team and President, and support onboarding, exits and company events.
**What will you do**:
- First point of contact for customers and visitors. Welcomes on-site visitors, ensures proper sign in procedures are completed, and directs guests to appropriate personnel.
- Orders, receives, stocks, and distributes office supplies.
- Assist the People & Culture and IT team with the coordination, onboarding, mailing equipment to new hires, coordinating the return of equipment from exits and service awards.
- Support the executive team with scheduling internal and external meetings and travel.
- Manage communication on the company intranet, including drafting and editing announcements and reminders.
- Prepares agendas and collects materials for meetings, company events, conferences; acts as scribe by taking minutes and keeping records as required.
- Assist the Operations team in fulfilling Health, Safety, and Environment responsibilities, including serving as a floor warden, and conducting monthly fire extinguisher inspections.
- Assist and provide backup coverage to the Resource Manager in Operations
- Prepares expense reports for the President and others, including documentation and breakdown of all receipts.
- Assist with the coordination of functions, staff events and meetings, and as required, arranges catering.
- Ensure the office environment is clean, professional, and secure always.
- Is familiar and competent with using all office equipment and systems.
- Manages the maintenance and repair of all office equipment and assets and participates in the research and procurement of new equipment as needed.
**What you'll bring**:
Minimum Qualifications
- A high school diploma or relevant work experience
- Minimum 2 years of experience in an administrative service-oriented role
- Strong organizational and time management skills
- Must be proficient in spoken and written English.
- Intermediate knowledge of Microsoft Office (Word, Excel, PowerPoint, and Outlook)
Preferred Qualifications
- A Technical Diploma or technical vocational training in Administration or related education
- Experience in travel and booking management.
- Basic knowledge of Enterprise Resource Planning System (Navision or similar)
- Basic knowledge of Concur.
