Reid & Associates Financial Services Inc. is an independently owned office affiliated with Sun Life Financial, and we are currently looking for an exceptional individual to fill the position of Administrative Assistant. This role ensures the smooth running of our company’s office and contributes in attaining continued growth.

Will act with the utmost confidentiality when organizing, coordinating, and providing administrative support to the Advisors, while maintaining our shared goal of creating meaningful relationships and an exceptional experience for our clients. You are a highly organized, detail-oriented, self-motivated individual who is competent in prioritizing tasks and working with little supervision. You are the kind of employee who thrives on paying attention to “the little things” that make a client experience exceptional.

**General Responsibilities**
- Managing multiple calendars and inboxes
- Booking and managing client appointments
- Coordinating daily client activities including plan updates and compliance tasks
- Supporting reception duties
- Prepping files for client appointments
- Processing investment fund changes, redemptions, and deposits as per client and advisor direction
- Preparing and generating reports as required
- Maintaining electronic and paper client files
- Ensuring all current and prospective clients receive timely, professional, and friendly service
- Working closely with other office support staff to execute an efficient and compliant business model

**Knowledge, Skills, and Abilities**
- Previous experience as an Administrative Assistant
- Ontario Mutual Fund License would be an asset
- Experience in the financial services industry an asset
- Confident and comfortable using computers, with emphasis on Microsoft Office Suite, and ability to learn new programs with ease
- Outstanding organizational skills with significant attention to detail
- Excellent interpersonal skills and client relationship management skills
- Professional integrity and commitment
- Work with a high degree of discretion
- Flexible and adept at handling fluctuating workloads
- Agile and poised when faced with change and/or ambiguity
- Ability to proactively adapt to changing priorities throughout the workday

**What’s In It For You**
- Office hours are Monday to Friday 8:30 a.m. to 4:30 p.m. This is a full-time position.
- Starting salary for full-time is $40,000 with potential for bonuses
- On-site parking

**Job Types**: Full-time, Permanent

**Salary**: From $40,000.00 per year

**Education**:

- Secondary School (preferred)

**Experience**:

- administrative assistant: 1 year (preferred)
- receptionist: 1 year (preferred)
