Accounts Payable Clerk

We are currently seeking an Accounts Payable Clerk. The hours are 8:30 AM to 5:00 PM, Monday to Friday.
- POSITION PURPOSE_
The A/P Clerk supports the Accounting Coordinator by performing transactional accounting work including accounts payable, general bookkeeping and clerical duties as requested. This person will cross-train on other functions such as Invoicing and Payroll and act as the Payroll Backup. The person in this position also provides administrative support to the Accounting and office management and backfills for reception, if needed.
- PRIMARY RESPONSIBILITIES_
- Processes payments by receiving, processing, verifying, and reconciling invoices.
- Reconciles processed work by verifying entries and comparing system reports to balances.
- Posts expenses to accounts and cost centers by analyzing invoice/expense reports; records entries.
- Pays vendors by monitoring discount opportunities, verifying federal and tax ID numbers, scheduling and preparing checks and EFT payments, and resolves purchase order, contract, invoice, or payment discrepancies and ensures proper documentation.
- Ensures credit is received for outstanding memos.
- Issues pre-approved stop-payments or purchase order amendments.
- Maintains accounting ledgers by verifying and posting account transactions.
- Responds promptly and professionally to A/P-related queries from vendors.
- Verifies vendor accounts by reconciling monthly statements and related transactions.
- Cross-trains and processes Payroll as a backup to the Director, HR.
- QUALIFICATIONS_
A minimum of three years of accounting experience including Accounts Payables.
Completed high school diploma. Additional training and certification in accounting is preferred. Completed post-secondary education is an asset.
Proven reliability. Must be punctual and reliable.
Full knowledge of generally accepted accounting practices.
Intermediate knowledge of and proficiency with QuickBooks ONLINE and MS Office.
Previous experience with processing Payroll would be an asset.
