**What You Will DoReception & Client Management**
- Greet clients and visitors in a **professional and welcoming manner**.
- Schedule and confirm **client appointments** and maintain management calendars.
**Administrative & Office Support**
- Perform general administrative tasks such as **filing, photocopying, scanning, and coordinating courier services**.
- Maintain office supplies and ensure office equipment is properly managed.
- Assist in **formatting and assembling financial statements, invoices, and tax packages** with accuracy.
- Organize and maintain **client records, both paper and electronic**.
- Support the **invoicing process**, including drafting invoices and monitoring billing deadlines.
- Prepare and **proofread correspondence, forms, reports, and presentations**.
- Coordinate internal meetings and office activities.
**Technology & Documentation**
- Maintain and update **client databases and office systems**.
- Utilize **Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Google Drive, Zoho CRM, and Adobe Acrobat**.
- Process **e-returns and documentation** efficiently and accurately.
**HR & Administrative Assistance**
- Support **HR-related tasks**, including employee documentation and compliance tracking.
- Maintain and manage **company policies, procedures, and employee records**.
- Provide administrative and scheduling support to senior management and team members.
**What We’re Looking For**
**Education & Experience**:
- College diploma or certificate in **Office Administration, Business Administration, or Accounting**.
- **Minimum 2-4 years** of experience in an **administrative or receptionist role**.
- Experience working in an **accounting or professional services firm** is an asset.
**Skills & Competencies**:
- Strong proficiency in **Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)**.
- Exceptional **organizational and time-management skills** with the ability to multitask.
- Excellent **verbal and written communication skills**, with a professional and client-focused approach.
- High attention to **detail, accuracy, and confidentiality**.
- Experience with **accounting software (Zoho CRM, TaxCycle, Caseware, or QuickBooks) is an asset**.
- Ability to work **independently and in a fast-paced environment** while managing multiple priorities.
