_**ADMINISTRATIVE ASSISTANT AND RECEPTIONIST**_
This role will be responsible for providing exceptional customer service to internal and external customers and clients. The position will share receptionist duties with the onsite security as well as be responsible for general office support and administrative functions. The role will also be responsible for understanding the basic building security and access control system, registering visitors, meeting coordination and general office duties. This is a contracted full-time role working 40 hours per week. Hours may vary from week to week based on production and facility programming.
**Responsibilities**
The day-to-day responsibilities will be shared between receptionist and assisting with general office duties.
- Provide a professional, helpful, and friendly attitude with all guest and visitors
- Welcome on-site visitors, determine nature of business, register and direct to appropriate stage or office
- Maintain tidiness of reception and main lobby area
- Monitor visitor access and issue passes as required
- Responsible for stocking up office supplies and purchasing supplies
- Answer incoming telephone calls, determine purpose of calls, and forward calls to appropriate personnel or department
- Train and support security in reception duties
- Provide reception coverage on daily basis as assigned.
- Administration_
- Provide clerical and office support to the management team
- Responsible for incoming/outgoing mail, sort and distribute mail on a timely basis
- Perform general administrative duties to include but not limited to photocopying, scanning, mailing, ordering supplies, shredding, filing and courier
- Prepare a variety of correspondence, reports and charts using PC software tools including MS Word, Excel, Advanced PowerPoint and Outlook in a Windows environment
- Make necessary arrangements for internal and external meetings and events; including booking conference rooms, ordering refreshments and special audio/video equipment; planning support and other internal events.
- Co-ordinate maintain and track project-based work, reports, contact lists, organizational charts and other files as assigned.

**Qualifications**
- High School Diploma or equivalent experience
- Must possess 1-3+ years of office related experience
- Ability to represent CBS Stages to the staff, clients and community by ensuring the best image is presented
- Excellent verbal and written communication skills. Proficient in English
- Ability to deal tactfully with employees, visitors and customers
- Exceptional organizational skills with ability to meet deadlines and manage multiple priorities
- Enthusiastic, warm and friendly personality, with a demonstrated client-service orientation
- Independent and self-directed with the capability to operate with mínimal direct supervision
- Excellent knowledge of Microsoft Office tools (Word, Excel, etc.) and strong overall computer skills
- A satisfactory Vulnerable Sector Criminal Records check
- Valid drivers licence (Asset but not necessary)
- Willing to work in a fast-paced environment
- Ability to occasionally work flexible hours
**Rate of Pay**:
$22 - $25 per hour based on experience. 40-hour work week. Must be available between the hours or 8 am - 6 pm Monday to Friday.
