**As a health and wellness organization, the First Nations Health Authority has aligned with the Provincial Public Health Order released on October 14, 2021. We have a mandatory COVID-19 vaccination policy for all employees at First Nations Health Authority. This policy requires all employees to be fully vaccinated against COVID-19. **Position Summary**:
The Executive Assistant provides executive level administration to the VP of HR and Executive Director of HR and supports HR functions and activities though the provision of a full range of proactive administrative support and services. This position ensures Human Resources administrative services are coordinated across the team and in alignment with administrative services across the organization. Key activities carried out in this role include provision and coordination of administrative services, office administration services, as well as technical support for the HR Leadership team and its operations and projects that advance the mandate and priorities of the FNHA, and HR specifically.
The Executive Assistant works collaboratively with internal and external clients and partners and uses independent judgment in resolution of routine and non-routine responsibilities to ensure high quality administrative and office support. The Executive Assistant is responsible for providing excellent customer service to internal and external stakeholders.
**Responsibilities**:
- Provides senior administrative support to the VP, Human Resources and Executive Director, Human resources including calendar management, correspondence management, call management, preparation of agendas, meeting materials, travel arrangements and request management.
- Identifies problems/issues that require executive involvement and bring to their attention. Follows through on issues in a timely manner.
- Coordinates, prepares, and reviews purchase requisitions, expense reports, procurement card statements and other financial claims, and ensures documents have necessary sign offs.
- Provides administrative support to the Human Resources Leadership Team as required.

- Greets clients and visitors in a friendly and professional manner, promptly receives and screens incoming telephone calls, taking messages as appropriate, and eliciting necessary information to allow timely and accurate responses.
- Keeps track of correspondence and ensuring that all correspondence is dealt with appropriately and quickly.
- Provides HR operational support to team, including orientation, onboarding/off boarding, and training on departmental systems, processes and procedures. Ensures new HR staff have all required office supplies and IT equipment, training and access (systems and office).
- Coordinates and oversees the organization of functions, activities, meetings, presentations and events, including all associated logistics for the HR Department, in collaboration with colleagues and other FNHA departments as appropriate.
- Coordinates and oversees the copy room, kitchen and office supply ordering and organization. Maintains office and kitchen supply by coordinating orders.
- Coordinates booking of HR meetings rooms.
- Other duties as assigned.
**Qualifications**:
**Education**
- Diploma in Business/Office Administration and or an equivalent combination of education, training, and experience.
**Experience**
- Minimum 3-5 years’ experience working with and supporting Senior and Executive level management.
- Experience working with BC First Nations communities and/or organizations in an administrative or management capacity.
- Experience handling sensitive and confidential information and matters in a trusted and responsible manner.
**Knowledge, Skills & Attributes**:
