Job Title: Administrative Coordinator
Location: 180 Kitchens Shop in Edmonton, Alberta
Part-time: Monday to Friday
Job Summary:
Key Responsibilities:
Administrative Tasks
- Upload and organize new documents; ensure files are accurate and up to date.
- Assist with scheduling and booking meetings and installs.
- Manage and maintain filing systems for completed jobs, ensuring accessibility and accuracy.
- Complete and maintain office Standard Operating Procedures (SOPs).
- Ensure cleanliness and organization of the office and shop supplies and accessories.
Inventory and Supplies Management
- Order shop supplies, including inventory and office essentials.
- Monitor and maintain an accurate inventory of materials, tools, and accessories.
- Receive shipments and verify inventory, ensuring all product paperwork is completed.
- Coordinate vinyl orders and update all product samples
Shipping and Receiving
- Prepare waybills and manage shipment tracking.
- Coordinate receiving of inventory and accessories, ensuring timely processing.
Scheduling and Coordination
- Draft and manage scheduling ensuring alignment with shop tasks and priorities.
- Follow up daily with the shop team to track progress and adjust plans as needed.
Sales and Customer Support
- Provide administrative support to the sales team, including updating customer files and documents.
- Ensure sales-side tasks are completed efficiently to maintain a seamless workflow.
Process Improvement and Cleanliness
- Identify opportunities to enhance office and shop workflows.
- Maintain the overall cleanliness and organization of shared spaces, including the showroom and office areas.
Qualifications:
- Proven experience in an administrative or similar role, preferably in a shop or operational environment.
- Excellent organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Ability to manage time effectively and prioritize multiple tasks.
- Experience with shipping and receiving processes, including waybills and tracking.
- Familiarity with inventory management and ordering systems.
