NorQuesters are difference makers and we’re searching for someone dedicated to making a difference to join our Business Operations team as a Coordinator, Administration.
Reporting to the Manager, Business Operations and working closely with the Faculty of Skills and Foundational Learning (FSFL) leadership team, the Coordinator, Administration oversees the management, development and training of administrative functions and processes to support faculty and facilitate students accessing NorQuest programming within the FSFL programs.
This position directly oversees a team of administrative staff that support all FSFL programs except for the LINC program, providing oversight of their work and training and development opportunities. This position also works with other areas within the college to ensure SEM targets are met, enrolment support is provided when needed and coordinates all aspects of intake starts.
The position manages the processes and information reporting needed for various stakeholders and looks for synergies and process improvement opportunities. The position works with and supports the Business Operations Manager, setting operational goals and measures while facilitating and guiding administrative functions to meet the requirements.
**How you'll make a difference**:
- Oversee the program administrative staff to ensure required activities are being completed according to individual program timelines, providing cover off as needed
- Understand all program administrative roles and functions to lead work flow through the term and during term change over periods
- Coordinate regular meetings with the Program Chairs and Associate Chairs to discuss upcoming program requirements, changes and new initiatives to then inform and lead the required administrative support
Connect and liaise with the LINC Coordinator, Administration and Manager, Business Operations for training, professional development, business process synergies, change management roll out etc.
- Participate in business planning and setting operational goals/measures for FSFL administrative staff
- Understand the student life cycle and flow of work across FSFL programs to facilitate the improvement of processes and make recommendations
- Facilitate communication, business, and administrative processes between the NorQuest sites where FSFL programming is delivered
- Develop, oversee and communicate program information to service areas
- Initiate and lead the collaboration with other academic departments and service areas to unify business processes wherever possible
- Provide training and develop and maintain training materials
- Oversee the annual timetabling submission for FSFL, troubleshooting processes and program requirements as needed
- Oversee and coordinate invoice and expense submissions to ensure they are lodged correctly and in a timely manner
- Oversee and coordinate the scheduling, room bookings and other requirements to run special events and meetings
- Participate on or facilitate organizing groups and/or committees as required, leading FSFL contributions in annual events such as start of term wayfinding and other events FSFL staff and students participate in
- Be a resource to all student program administration across the faculty and college
- Assist administrative staff and leadership as required
- Other administrative duties as required
**What you bring**:
- Minimum 3 years supervisory experience
- 3 to 5 years senior administrative experience
- Business Degree is preferred. Consideration will be given to those with a Diploma in Business, Administration, or a related field combined with relevant experience.
