**Summary**
We are seeking a highly organized, detail-oriented **Bookkeeping & Office Administrator** to support daily office operations, accounting functions, and internal reporting. This role is central to keeping the business running smoothly and requires confidence working independently ,handling multiple priorities, and maintaining accuracy.
**Key Responsibilities**
- Process **Accounts Payable**: Match invoices to purchase orders. Code invoices and obtain approvals. Enter invoices into **QuickBooks.**:
- Order supplies and liaise with vendors regarding invoicing discrepancies or missing documents.
- Perform general administrative and bookkeeping tasks as required.
- Handle payroll processing and bookkeeping tasks accurately.
- Maintain organized filing systems and ensure document accuracy.
- **Weekly Responsibilities**:
- Prepare invoice batches for EFT payments
- Post payments in **QuickBooks**:
- Provide AR and AP reports to management
- Strong organizational and communication skills.
- **Bi-Monthly Responsibilities**:
- Process **Union Payroll**:
- IWA pension
- SunLife benefit invoices
- Run Accounts Payable cheque payments
- **Monthly Responsibilities**:
- Print and distribute AR statements; follow up on outstanding accounts
- Reconcile VISA transactions to statements
- Prepare bank deposits
- **Qualifications & Experience**:
- Demonstrated experience and proficiency working with **QuickBooks**, including:
- Accounts Payable & Accounts Receivable
- Invoice entry, coding, and payment posting
- Bank, credit card, and cash reconciliations
- Payroll
- related entries and reporting
- High attention to detail with strong organizational and time-management skills
- Ability to manage recurring deadlines independently
- Strong written and verbal communication skills
- comfortable handling confidential financial and payroll information.
- Experience in human resources, payroll, and bookkeeping.
- Ability to manage multiple priorities with attention to detail.
Pay: $28.00-$32.00 per hour
Expected hours: 35 per week
