Job Title: Customer Sales (Service) Representative

**Job Type**: Full Time

Position Reports to: Sales Account Manager

**Summary of Position**

The Customer Service Representative is responsible for managing the complete order process and maintaining a good customer relationship. It is important to ensure a pleasant customer experience.

**Task and Responsibilities**
- Order management
- Order entry in SYSPRO
- Ensure and validate that all purchase orders have been entered correctly (prices, quantities, transport carrier)
- Provide order confirmations to customers with estimated delivery date
- Follow the dedicated lead-time schedule (private label and national brands)
- Ensure minimum order quantities per items are met
- Adjust purchase orders and advise customers when needed
- Provide help and support when clients request exceptions
- Coordinate with Operations for earlier delivery requests
- Contact and book appointments when needed
- Manage general communication with customers
- Build and maintain customer relationships
- Support customers on any request
- Manage the customer complaint procedure
- Keep the customer files up to date (buyers, templates, contract prices, etc.)
- Manage price list
- Maintain an accurate price list in the system
- Inform changes to customers when needed
- Keep track of promo rebates and end-dates for pricing
- Responsible for managing price increases
- Logistics
- Coordinate pick-up requests
- Responsible for booking appointments (when needed)
- Ensure the right transport company is used per proving and client

**Qualifications**

Knowledge Required:

- Good computer skills
- Proficiency in English and French (speak, write, read)
- Knowledge of SYSPRO preferred but not necessary

Education/Experience:

- College diploma (in communication or administration)
- 3 to 5 years of experience in a similar role (customer service and order entry)

**Résumé du poste**

Le Représentant, Service à la Clientèle client est responsable de gérer l’ensemble du processus des commandes et de maintenir une bonne relation avec tous nos clients. Il est important de garantir une expérience client agréable.

**Tâches et responsabilités**
- Gestion des commandes
- Saisir des commandes dans SYSPRO
- S’assurer et valider que tous les bons de commandes ont été correctement saisis (prix, quantités, transporteur)
- Fournir des confirmations de commande aux clients avec la date de livraison estimée
- Suivre les délais de livraison (marque nationale et marques privées)
- S’assurer que les quantités mínimales des commandes par article soient respectées
- Ajuster les bons de commandes et aviser les clients au besoin
- Être accommodant le plus possible lorsque les clients demandent des exceptions
- Coordonner avec le dépt. des opérations pour les demandes urgentes de clients
- Contacter et prendre les rendez-vous au besoin
- Gérer la communication générale avec les clients
- Maintenir les relations clients
- Accompagner les clients avec toutes leurs demandes
- Gérer la procédure des plaintes
- Tenir à jour les fichiers clients (acheteurs et prix contrats)
- Gérer la liste de prix
- Maintenir une liste de prix à jour dans le système
- Informer les clients de changements si nécessaire
- Gérer et garder à jour les rabais en exception avec les dates effectives
- Responsable de la gestion des augmentations de prix
- Logistiques
- Coordonner les demandes de ramassage
- Responsable des rendez-vous pour les livraisons (si nécessaire)
- S’assurer que le client utilise la bonne entreprise pour le transport

**Qualifications**

Connaissances requises:

- Bonnes compétences informatiques
- Maîtrise de l’anglais et du français (parler, écrire, lire)
- Connaissance de SYSPRO préférée mais non essentielle

Éducation/Expérience:

- Diplôme collégial (en communication ou en administration)
- 3 à 5 ans d’expérience dans un rôle similaire (service client et saisie de commandes)
