The job manages and coordinates all administrative functions for the team and supports the Recruitment Specialist in the delivery of recruitment and selection services for the Division. The job’s primary focus is recruitment for the four-employee groups: Alberta Teacher’s Association (ATA), Out of Scope (OOS), Alberta Union of Public Employees (AUPE), and Unifor.

The job has considerable interaction with applicants and new employees in coordinating and completing a range of recruitment and onboarding activities.

This position may be eligible for a hybrid work schedule.

**Job Responsibilities Include**:

- Assists Recruitment Specialist in organizing and participating in events such as career fairs and presentations
- Provides support to French Immersion teacher portfolio
- Advises external applicants on Division recruitment and selection processes
- Assist in the development and implementation of strategies for hard-to-recruit occupations and skill sets
- Builds positive and productive relationships with invested parties to foster and support best HR practices in the organization
- Identifies alternative job posting options and methods to maximize exposure and reach the target audience
- Facilitates the organization of practicum placements
- Coordinates the procurement and distribution of promotional recruitment materials
- Enters, tracks, and maintains applicant recruitment data electronically
- Responds to inquiries and provide information to external applicants
- Compiles interview packages including applicant documents and interview tools
- Generates and distributes correspondence to successful applicants and ensures essential hiring documentation is received
- Tracks and reports interview and recruitment data
- Collects and confirms staff credentials including degrees, diplomas, certifications, designations, memberships, and registrations necessary to perform specific functions in the Division
- Updates applicant status and other relevant information in the Human Resource Management Information System (HRMIS)
- Communicates with successful applicants to provide information and guidance on finalizing the hiring process
- Ensures communication on orientation is delivered to successful applicants
- Assists in recruitment, selection, and assignment of substitute staff
- Communicate with substitute staff to provide information and answer questions
- Communicate with administrators, managers, and supervisors to discuss staffing needs and assign staff
- Develops and maintains information on substitutes and respective placements
- Recommends and implements changes to recruitment and administrative processes within the team
- Generates reports for the manager to share with the Superintendents and Chief Superintendent
- Responds to inquiries electronically, via telephone calls, or in-person visits
- Handles records management
- Generates a range of written materials and forms
- Receives and distributes documents and correspondence
- Receives and distributes documents, correspondences
- Coordinates all inquiries, issues, and information arriving at the office
- Posts, updates, removes and revises information on the department portal
- Participates in team meetings
- Participates in special events, celebrations, and projects
- Assists team during periods of peak workload and with special projects
- Maintains technical knowledge through a range of professional development activities

**Job Qualifications Include**:
**Diploma or degree in Human Resources, or a related area, plus three years of directly related experience**
- Written and oral French language proficiency is considered an asset
- Working knowledge of collective agreements, OOS Terms and Conditions Human Resource Services policies and procedures, and the Alberta Education Act
- Working knowledge of staffing and interviewing techniques, principles, and practices
- Working knowledge of Microsoft 365, electronic Human Resource Information Management System (HRMIS), staffing system, and attendance system
- Knowledge of data collection and analysis techniques and principles
- Knowledge of presentation principles and techniques
- Knowledge of Freedom of Information and Protection of Privacy Legislation and records management principles
- Knowledge of safe workplaces and awareness of Occupational Health and Safety Legislation and regulations
