**Summary**:
We are currently seeking an Administrative Assistant (Proposal Writer) for our Thunder Bay, Ontario office. The Administrative Assistant is responsible for providing a wide range of clerical and administrative support to the Engineering Department as well as collate, edit and package proposals. This is an ideal role for someone who thrives in a fast-paced and constantly changing environment with a proposal writing background.
**Responsibilities**:
- Prepares wide range of administrative documents for the department including but not limited to processing expenses, entering Purchase Orders, creating Organizational charts, etc.
- Assists in preparation of proposals including the researching, compiling, and summarizing data in accordance with established procedures.
- Edits and proofreads proposal and other related materials to ensure accuracy, clarity, readability, consistency with company guidelines and standards
- Updates and maintains electronic filing and document control tracking system.
- Ensures compliance with document control standards and performs quality checks on documents such as drawings, reports, and calculations ensuring completeness.
- Coordinates all information in format requested in RFP against Company standards
- Maintains files of all RFPs and completed proposals and presentations
- Maintains up-to-date content library
**Qualifications**:
- Minimum three (3) years of administrative experience within an engineering environment would be beneficial
- 3 years Bachelor’s degree in Administration or equivalent would be beneficial
- Exceptional writing and editing skills
- Advanced Proficiency in MS Office: Word, Excel, PowerPoint, and Outlook with exposure to Visio and database/document control platforms is an asset.
- Strong organizational skills that demonstrate a high level of accuracy and attention to detail
- Ability to work collegially under strict deadline pressure and handle multiple work assignments
- Ability to learn quickly, demonstrates critical thinking, and makes situation-appropriate decisions using sound judgment
- Outstanding interpersonal and communication skills
- Experience working in a high-paced, large company environment
