**Key Responsibilities**
- **Phone and Client Communication**: Handle incoming calls professionally, schedule sampling appointments or drop-offs, and follow up to convert inquiries into bookings. Provide exceptional bilingual customer service.
- **Scheduling & Logistics**: Optimize daily technician routes across cities (Montreal, Ottawa, Edmonton, and more) to maximize efficiency and minimize costs. Arrange sample shipments from remote locations with labels and instructions; adjust schedules dynamically.
- **Team Management & HR**: Oversee workflows for analysts, admins, and technicians; manage schedules, track attendance (including remote punch-ins), and handle time-off requests without disrupting operations. Submit accurate payroll data to accounting.
- **Data Entry & Reporting**: Enter lab results into Microsoft Access, generate bilingual certificates, and verify accuracy at every step. Coordinate with analysts to meet deadlines and act as quality control.
- **Executive Assistance**: Support the President by managing operations, preparing reports/summaries, creating invoices, and sending them promptly to enable focus on growth.
- **Supply Management**: Track and order office, lab, and field supplies frugally; maintain inventory to avoid shortages or excess.
- **Client Reception**: Manage front desk for a welcoming experience; assist walk-ins with services and samples; keep area tidy and stocked.
- **Event & Meeting Coordination**: Prepare weekly meetings (clean room, tech setup, agendas, refreshments); organize team events like lunches, BBQs, and parties, handling logistics and budgets to boost morale.
- **Office Upkeep**: Maintain clean, safe facilities; schedule waste removal, enforce tidiness, and propose improvements within budget. Proactively resolve basic IT issues for the team (e.g., printers, video calls) or coordinate fixes; proficient in Microsoft Office, VoIP, and conferencing tools.
- **Customer Experience**: Follow up post-service for satisfaction and reviews; commit to excellence, occasionally extending hours for urgent needs to support company growth.
**Qualifications & Skills**
- **Education**: Bachelor’s in science, literature, business, computer science, or related field for technical/reporting demands.
- **Language**: Bilingual (French & English) with strong written/verbal skills for client interactions and reports.
- **Experience**: 3+ years in administration, coordination, or executive support; lab/technical background a plus.
- **Skills**: Exceptional organization, multitasking, and time management; proficient in Microsoft Office, databases (e.g., Access), and tech tools; strong interpersonal, problem-solving, and detail-oriented abilities; adaptable with leadership initiative and ownership mindset.
**Compensation & Benefits**
- **Employment**: Full-time, permanent at Montreal HQ (8:30 AM-5:00 PM, Mon-Fri; some flexibility required).
- **Salary**: $25-$30/hour during 3-month probation; transitions to salaried based on performance/qualifications.

**Responsabilités principales**
- **Communications téléphoniques et avec les clients** : Répondre aux appels entrants de façon professionnelle, fixer des rendez-vous pour des prélèvements ou des dépôts d’échantillons, effectuer les suivis nécessaires et transformer les demandes en réservations. Offrir un service à la clientèle bilingue de haut niveau.
- **Planification et logistique** : Optimiser les itinéraires quotidiens des techniciens dans plusieurs villes (Montréal, Ottawa, Edmonton, etc.) afin de maximiser l’efficacité et réduire les coûts. Organiser l’expédition d’échantillons depuis des sites éloignés (étiquettes, instructions) et ajuster les horaires en temps réel au besoin.
