Receptionist/administrative Assistant

Van Herpt Volvo Cars Kingston is looking for a full time Receptionist to assist our Sales & Service department.
Duties
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, taking messages as needed
- Schedule appointments and maintain calendars for admin staff
- Perform general clerical duties, such as filing, photocopying and faxing
- Maintain office supplies inventory and place orders when necessary
- Handle incoming and outgoing mail and packages
- Assist with basic admin tasks using Excel
- Maintain a clean and organized reception area
- Process & track customer payments
- Perform daily customer service calls and montly accounts receivable calls
- Maintain a clean and tidy customer waiting area
- Clean, organize and stock coffee station
- Prepare and deliver bank deposits
- Preparing vehicle registration
- Additional tasks to be assigned on an on going as needed basis
Experience
- Previous experience as a receptionist or in a similar role is preferred
- Familiarity with vehicle registration procedures is a plus
- Proficient in using office equipment such as printers, scanners, and fax machines
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent phone etiquette and communication skills
- Ability to type accurately and efficiently
- Strong computer skills, with special attention to Microsoft products, including excel, outlook and teams.
- Easily adaptable to change
- Reliable, and punctual
