**The Agency**:
The John Howard Society of Red Deer is a non-profit organization working to promote community harmony through the advocation of human dignity and social justice. **The Position**:
Reporting to the Executive Director, the **Office Assistant** provides overall support to both administration and programs to ensure the agency runs smoothly and efficiently. They provide essential support to both administration and programs, contributing to a highly effective staff team.
**Duties and responsibilities**
Job duties include, but are not limited to:
- Provide administrative support to JHSRD administrative staff and program managers
- Independently and consistently perform general clerical duties to include, but not limited to, copying, faxing, mailing and filing.
- Prepare and deliver bank deposits
- Sort and distribute incoming correspondence, deliveries, and supplies to all program areas. When required schedule package pickup and delivery.
- Maintain, update and ensure confidentiality of all administrative files
- Maintain inventory of office equipment and supplies, order supplies as required for all program areas
- Manage schedules for all meeting spaces.
- Prepare responses to correspondence containing routine inquires.
- Monitor and assist with the maintenance of the agency’s website.
- Schedule building and equipment repair or maintenance from approved contractors for all program areas
- Publish job ads as needed.
- Prepare hiring package with all policies and agreements.
- Other supporting tasks as assigned by the Executive Director and Program Management, including arranging travel or accommodations.
- Use of Office 365 environments, including document processing, Sharepoint, Teams, etc.
The Office Assistant responsibilities include:
- Hold and maintain Reliability Status with CSC
- Dependability, reliability, punctuality and confidentiality are essential.
- Maintaining client, staff and agency confidentiality is essential.
- Exercise discretion and consistently maintain strong professional boundaries.
- Working effectively with varied program areas, and providing productive independent work from time to time.
- Strong Initiative, highly developed organizational skills and maintain a professional attitude.
- Maintaining strong written and verbal communication and interpersonal skills.
**Hours and Compensation**:
The Office Assistant position is a Full Time position (5 days/week, 8:30 am to 4:30 pm) and is eligible for full benefits. Salary, $22 - 24/hr
**Requirements**:
Mandatory Requirements for the Office Assistant position are:
- Post-secondary Certificate in Office Administration or related field required
- 2 or more years previous working experience in an Office Administrative related role is preferred. _**Equivalent education and experience may be considered at the discretion of the Executive Director.**_
- Background or related experience in the criminal justice field is considered favorable.
- Training or experience in use of Office 365 software and work environments including Sharepoint and Teams, general office equipment, multi-line phone systems.
- Basic First Aid with CPR and AED
- Clear Criminal record check
- Valid driver’s license with clean driver’s abstract, and adequate vehicle insurance
Desirable provisions for the Office Assistant position:
- Specific training in one or more of the following areas is preferred:
Nonviolent crisis intervention, mental health and addictions, occupational health and safety.
- Demonstrated experience communicating with Provincial and Federal Corrections, Addictions and Mental Health, Municipal, Provincial and Federal stakeholders and community based organizations.
- Demonstrated proficiency prioritizing multiple competing deadlines
