Project Administrator

Job Summary:
This position reports directly to the Director, Operations and will work with operational team by providing administrative supports for planning, coordinating and executing activities to achieve STT’s business objectives.
Responsibilities & Duties:
- Provide administrative support in document drafting/revision/update for projects / sales orders
- Document control:
- Ensuring that controlling, archiving, retrieval of documents and drawings are accordance to company’s Quality Management System (QMS)
- Ensuring accurate revision control and capture of document transmittal in Project Document Registry (PDR)
- Ensuring documents is transmitted / distributed to appropriate internal and/or external project participants
- Participate in project meetings and support project team in expediting documents/information from vendors and sub-contractors
- Provide assistance in data entry (e.g. Bill of Materials, Work Orders, Items, etc.) into Enterprise Resource Planning (ERP) system
- Other administrative duties deemed necessary, such as maintenance and update of current project and company information, historical data, etc.
**Minor/Occasional Duties**:
- Updating and maintaining of procedures / workflow
- Assist functional groups with weekly reports
- Support other functional groups (finance and shop) in occasional assignments
Job Qualifications:
- 1 to 2 years’ related experience
- Post-Secondary Education/College Diploma - Administrative, Business or International Business
- Strong verbal and written skill in other languages (e.g. French, Spanish or Portugues) is an asset
- Ability to understand and follow established procedures/guideline and basic project specification documents
- Proficiency in Microsoft Office suite (Excel, Word, PowerPoint)
- Experience in data management is an asset.
- Detailed Oriented, excellent organizational, time management, problem solving and customer service skills
- Strong understanding of financial processes, project workflows and processes
- Ability to work independently, show sound judgement, and adapt to changing priorities
- Aptitude for continual learning and development
