From our hatcheries to our “ready to eat” state of the art cooking facilities we service customers in the retail, food service and industrial sectors. Our test kitchens have the most current cooking equipment replicating that used in commercial establishments, to facilitate precision testing. With an Executive Team of seven, we are looking to expand our support functions to include a skilled Administrative Assistant that can lend support to the Administrative Services Manager and assist to enhance their efficiency and effectiveness of the Executive Team.
Based in Surrey, our Head Office is rapidly growing into one of the municipality’s largest employers. We provide a dynamic and fast-paced work environment, blending the depth and complexity of a metropolitan opportunity with an enhanced work-life balance.
**Responsibilities**:
- Assist with the management of complex and constantly changing calendars, scheduling and recording meetings and appointments.
- Coordinate virtual and in-person meetings, taking and maintaining accurate and comprehensive minutes.
- Participate in meetings and learning events, and engage in team initiatives and projects.
- Utilizing financial prudence, plans, recommends and secures complex travel arrangements for the entire company including, flights, hotels and rental vehicles.
- Provide short-term backup support for colleagues as required.
- Serve as the point of contact for general communications for the executive team, mail, and visitors; route and resolve information requests.
- Document management: prepare correspondence, prepare and reconcile complex expense statements, ; create reports and presentations.
- Research and organize data to represent senior management, which may include directors, executives, and committees.
- Use technical tools and software such as Microsoft Office Suite, especially text processing software and spreadsheets.
- Act as a virtual assistant and perform other duties as required.
- Event planning: Engage in planning for corporate events including staff holiday parties, summer picnics, and various other employee events. (ie. Holiday luncheon, winter gala, small conferences and or workshops etc.).
**Requirements**:
- Minimum three years as an Administrative or Executive Assistant.
- High school diploma or general education degree (GED) required; associate degree in business administration is preferred.
- Strong verbal and written communication skills.
- Comfortable with routinely shifting demands.
- Exceptional attention to detail.
- Working knowledge of general office equipment.
