Administrative Assistant

AMIX Recycling & AMIX Steel are leaders in the metal recycling and steel industry. We are looking for a highly organized and proactive **Administrative Assistant** to provide essential support to our leadership team, including the **General Manager, Operations Manager, Systems Coordinator, and Office Manager (Steel Division)**. This role is key in maintaining efficient administrative operations across multiple departments while also supporting marketing initiatives.
Key Responsibilities:
Administrative & Reporting Support
- Develop reports for Recycling and Steel divisions on an as-needed basis.
- Assist in preparing **financial statement analysis**, **inventory audits**, and **outbound customer metrics**.
- Perform **weekly and monthly data entry tasks**, including **scorecard updates, inbound and outbound reporting, and financial tracking**.
- Plan and coordinate **1-on-1s and performance reviews** for team members.
- Support agenda development for **weekly meetings**.
Operations & Data Entry
- Maintain and update **weekly and monthly scorecards** for Recycling and Steel divisions.
- Support **timesheet management** and ensure timely data entry.
- Assist in managing **sales & operations reports**, including weekly and monthly overviews.
- Conduct **inventory analysis discrepancy audits** and compile findings for leadership.
- Help organize and coordinate **internal performance tracking systems**.
Marketing & Communications Support
- Provide administrative support for marketing projects, ensuring documentation and reporting needs are met.
- Assist in gathering data and preparing reports related to customer outreach and engagement.
- Maintain organized files, databases, and project tracking for marketing and operational initiatives.
Qualification & Skills
- **Proficiency in Microsoft Excel, Word, and Outlook** (experience with ERP or CRM systems is an asset).
- **Strong attention to detail** with experience in **data entry, reporting, and financial analysis**.
- Excellent **organizational and time management skills** with the ability to prioritize multiple tasks.
- Strong **verbal and written communication skills** to assist in agenda development, meeting coordination, and marketing support.
- Ability to work independently while collaborating with multiple departments.
- **Experience in administrative, operations, or executive support roles** (experience in industrial or manufacturing industries is a plus).
- **High level of trust, discretion, and professionalism** - this role requires handling **sensitive financial data** and confidential company information with integrity.
