We are looking for an enthusiastic and proficient **Administrative Assistant**for our **Head Office**branch in **Calgary** As an Administrative Assistant you will provide administrative support to various teams, oversee travel arrangements, large group bookings, new hire onboarding, and office logistics.

**A Day in the Life**:

- Manage Business Travel requests- Book and reserve flights, hotels, and car rentals for clients and staff
- Coordinate and negotiate travel discounts for large group bookings and conferences
- Create and manage employee travel profiles and self-serve permissions
- Train employees on the travel self-serve portal and provide ongoing support
- Provide invoices and receipts to finance for client travel rebills and MDF fund allocation
- Follow up with vendors for receipts and invoices
- Quote travel costs for proposals
- Act as main back-up for Calgary Corporate Services- Order catering and employee gifts
- Coordinate special events logistics
- Manage local mail, couriers, building access cards, and parking passes
- Maintain office supply inventory and ensure kitchens are stocked and tidy
- Organize new hire onboarding sessions and manage onboarding checklists
- Perform expense management for executives
- Generate PowerPoint presentations and assist with social and community events
- Organize award orders and distribution

**What You Bring**:

- 1+ years’ experience in an office administration or coordinator position
- Certificate in Business Administration or equivalent considered an asset
- Excellent interpersonal and communication skills (verbal and written), with a focus on customer service and relationships
- Strong organizational skills, proactive approach and the ability to multi-task
- Previous experience in travel bookings, planning and coordination an asset
- Proficient in Microsoft Office Suite, Teams, Outlook
